Online Invoicing & Payments at South Hills

As of June 2016, all parents of currently enrolled students will receive monthly invoices in their email inbox on the first of each month. Invoices will be sent to the email(s) provided in your registration packet (the same email(s) used for your classroom Dropbox folders). Please refer to the brief video and FAQs below for more information.

Here are some important things to note about the new invoicing and payment system:
  1. Monthly invoices will be sent on the FIRST of each month and are due by the FIRST of the following month (Though a five day grace period will be given before late charges are incurred). These monthly invoices will contain line items displaying your child's weekly tuition costs for any given month (ie. tuition owed the week of/ ending June 17th, June 24th, etc.).
  2. Payments are now accepted online and can be made directly within the email invoices you receive. Simply select "view invoice" then "pay now" and follow the instructions. For more help with this, please watch the YouTube video and/or read the FAQ below. 
  3. In addition to your monthly invoices, you will receive a complete statement displaying all invoices due during any given term at the beginning of each term. This statement will NOT include the option to pay online (only the monthly invoices will provide this option!). This statement is simply for your reference and can be used to determine what you will owe for an entire term. Feel free to request an updated statement from me at any time. As these statements include all invoices and payments for a given term, they are ideal to use for tuition reimbursement programs. Statements will automatically be sent at the end of every year for tax purposes.
  4. If you have ANY questions or would like to receive an updated term statement at any point, please email me directly here. You can also find my email address within your emailed invoices and statements and in the video below.

FAQ

Why haven't I received my invoices yet?
Summer 2016 invoices are being sent out during the week ending June 3rd while Fall/Spring 2016-2017 invoices will be sent by July 1st. If your invoices or statements have not appeared in your inbox (don't forget to check your spam!), please email me using the form here. My email is also displayed in the video above.

What if I found a mistake on my invoice?
Please email me immediately! You can email me directly or send me a message within the invoice containing an error (see the video above).
Are online payments secure?
Yes! All online payments are completed through Intuit Quickbooks, a standard bookkeeping and online payment program for millions of small businesses worldwide. Payments are encrypted and secured just like any other trustworthy online payment system such as Paypal and Venmo.

Can I still pay by check?
Yes. Checks can still be dropped off at South Hills or mailed to us at 3808 Caughey Rd.. However, we encourage you to use the online payment system, as this ensures a more efficient payment process while encouraging a paperless accounting environment!

Can I pay with credit card?
Unfortunately, we don't offer the option to pay with credit card at this time. All online payments are taken directly from your bank account. In order to pay online, you will need to type in your bank account and routing number to the Intuit Quickbooks invoicing system. Your authorized payment will be transferred directly from your bank.

How long does it take for my payment to transfer from my bank account?
2-3 business days.

I'm given the option to save my bank account information within my invoice. Should I do this?
I recommend creating an account with Intuit Quickbooks. This way, you won't have to enter your bank account information again in the future and can make your payments quickly each month. Please watch the video above for more information about this.

Can I pay for an entire term/ the entire year all at once?
Certainly! Feel free to email me and let me know. You can find my email directly in your invoices and statements or in the video above.

How do I know my payment has been received?
You'll receive an email immediately providing a receipt and confirmation that your payment has been sent to South Hills. Your online invoice will also be updated to reflect the amount paid and amount still due (if applicable) for any given month.

Can I still pay weekly?
Absolutely. You can pay any amount you'd like at any point throughout the month. As you make weekly payments, your invoice will update to reflect the amount you've paid and what you still owe. The only requirement is that the entire month be paid by the first of the following month (though a five day grace period is given before late charges are incurred).

Am I able to set up automatic payments?
Unfortunately, automatic payments are not available at this time. This is a feature I'm working on adding to our online invoicing system soon though!
